Job Description:
We are currently seeking a proficient and detail-oriented Bookkeeper to join our team onsite in Naples, FL. As a Bookkeeper, you will play a essential role in ensuring the precision and integrity of our financial records while supporting various accounting tasks. Your outstanding organizational skills, attention to detail, and competence in financial management software will contribute efficiently to our financial processes.

Primary responsibilities:

  • Reconcile and record financial transactions, including accounts payable and receivable, general ledger entries, bank reconciliations, and other financial tasks.
  • Reviews and pays invoices, ensuring accuracy and timeliness. Receive appropriate approvals and settle any discrepancies promptly.
  • Arrange journal entries, reconcile accounts, and ensure accurate financial reporting.
  • Prepare quarterly and annual financial reports, including balance sheets and profit and loss statements.
  • Monitor & process company distributions.
  • Support management in analyzing and forecasting financial trends and discovering areas for improvement, as well financial projections.
  • Ensure compliance with all applicable accounting guidelines and company policies. Assist with audits and provide mandatory records as required.
  • Work closely with others, including HR, Compliance, and Management, to provide accurate and timely financial information and support their needs. E.g., backing up HR in processing payroll.

Requirements/Qualifications:

  • Bachelor’s degree in Accounting, Finance, or a related field
  • A minimum of two years experience preferred.
  • Skilled in accounting software (e.g., QuickBooks, or similar platforms)
  • Ability to work in a fast-paced environment.
  • Exceptional attention to detail and accuracy
  • Proficient organizational and time management skills
  • Robust analytical and problem-solving abilities

Job Description:
We are currently seeking a proficient Human Resource & Office Administrator to join our team onsite in Naples, FL. As a Human Resource & Office Administrator, you will play an essential role in ensuring the precision and integrity of our HR Department and Backoffice. Your outstanding organizational skills, attention to detail, and competence in Human Resource will contribute efficiently to our Backoffice processes.

Primary responsibilities:

  • Assist with recruitment and onboarding processes.
  • Monitors the daily workflow of the HR Department and Backoffice functions.
  • Supports the performance evaluations and appraisals process.
  • Supports the separation/termination process of employees.
  • Assist in employee benefits enrollments and daily requests.
  • Reports to and works directly with the Human Resource & Finance Officer to understand and execute the organization’s human resource strategy as it relates to current and future needs.

  • A minimum of three years of Human Resource / Office Management experience preferred.
  • SHRM-CP or SHRM-SCP is a plus.
  • Able to prioritize and delegate assignments.
  • Knowledge of employment laws and regulations.
  • Skilled in accounting software (e.g., QuickBooks, or similar platforms)

Primary Responsibilities:

  • Coordinate with client service operations to ensure that service related requests are completed in a timely manner. When necessary, communicate with client upon completion of service related requests
  • Handle routine maintenance and service requests
  • Performs operational or administrative functions for client related requests (i.e., check requests, wiring funds, address change, dividend information, etc.)
  • Researches client and security information through the back office system
  • Perform administrative duties that support Financial Advisors in daily business practices, including but not limited to, telephone coverage, coordination of client meetings, and file & calendar maintenance
  • Maintain existing client relationships through the processing of client requests, resolving client inquiries, and making sure key client information and documentation is up to date
  • Interacts daily on the phone and in person with prospective and existing clients including handling basic inquiries and various administrative duties (i.e., answer phones, mailing documents/letters, etc.)
  • Onboard new client accounts, which includes the collection of required documentation and client information based upon the type of account (s) established
  • Responsible for pro-active outreach to existing clients to facilitate better client experiences & schedule meetings with Financial Advisors
  • Conduct outreach to maintain strong relationships with client base and identify Firm services and solutions, such as digital, online access and cash management offerings, that support clients’ needs
  • Coordinate client meetings and participate in client meetings to support completion of paperwork, demonstrating that you are an integral part of the client experience
  • May service less active accounts
  • Independently collect and update the client’s investments information and actively participate in preparation of annual reviews and financial plans
  • Verify accounts are traded into the correct model and provide trade assistance as needed; track incoming deposits , other investment funding, and transfers to ensure that all applicable accounts moved as expected
  • Proactively participate in firm initiatives directed by local management and attend functions as needed
  • Follow all established audit and compliance procedures
  • Consistently document client service interactions into the CRM tool
  • Actively engage in available training and education programs to maintain current status on policies, procedures, risk awareness, and technology
  • Participates in and receives cross-training, as well as assists with other operational functions as required
  • Delivering  value, excellent service and providing a positive client experience
  • Prepare and review all new account paperwork to ensure documents are complete and in good order
